End-of-year work functions have a reputation problem. In theory, they’re a celebration – a chance to bring a team together, thank people for the year’s work, and send everyone into the holidays on a high. In practice, they’re often a room with a bar tab, a DJ nobody asked for, and an awkward hour where people run out of things to say to colleagues they see every day.
The fix isn’t a bigger budget or a fancier venue. It’s giving people something to do together. Something competitive enough to create moments, and social enough to break down the usual work-function formality. A racing simulator hire does both.
Why simulators work at end-of-year functions
End-of-year parties have a different dynamic to conferences or trade shows. The audience already knows each other – which means the entertainment doesn’t need to be an icebreaker so much as a permission structure. Permission to be competitive. To be a bit loud. To have a genuine reaction in front of colleagues.
Racing does that naturally. The moment someone posts a fast lap and the room reacts, the mood shifts. People who weren’t going to have a go decide they want one. People who’ve already raced come back to try and improve. The leaderboard creates a narrative thread that runs through the whole event – something to talk about, something to check, something that gives people a reason to stay later than they planned.
It also works across every level of the org chart. The CEO who can’t beat the intern’s lap time is a story that gets told for years. That kind of genuine, unscripted moment is worth more than any team-building exercise that was ever run in a conference room.

How to structure a simulator activation at a year-end function
Run it for the whole event, not just part of it.
The temptation is to treat the simulator as a warm-up activity for the first hour and then pack it away when dinner is served. Resist this. The best end-of-year activations keep the simulator running right through the event – between courses, after dinner, during the part of the night when the DJ has started and half the room is looking for something else to do. The leaderboard gets more interesting as the night goes on and more people have raced.
Set up a proper competition with a prize.
End-of-year functions are already in celebration mode, which makes them perfect for a proper leaderboard competition. A prize for fastest lap – a bottle of something good, a voucher, a trophy (which we can supply!) if you want to commit to the bit – turns the activation into an event within an event. Announce it at the start of the night, update the standings during the event, and present the prize publicly at the end. It gives the function a structure and a crescendo that free-flowing drinks rarely provide.
Give your MC a hook.
If your function has an MC or a host, brief them on the leaderboard. A mid-event leaderboard announcement – “current leader is [name] with a [time] – anyone think they can beat it before 9pm?” – keeps the activation alive in the room even when people are at the other end of the venue. It creates the kind of running gag that carries an event.
Works for teams of any size
A single simulator works well for teams of up to about 60-80 guests over the course of an evening, assuming not everyone will race. For larger functions, or where you want a proper competition format with head-to-head racing, two simulators create a much stronger visual presence and allow for a more structured competition.
We’ve supplied simulators to everything from small team dinners of 20 people to company-wide end-of-year events with several hundred guests. The format adapts – what stays consistent is that the leaderboard and the competition are what make it work.

Venues in Melbourne and beyond
End-of-year functions happen in a huge range of venue types – restaurant private dining rooms, rooftop bars, hotel ballrooms, office spaces, warehouse venues. Our rigs are designed to work across all of these. The main requirement is enough floor space for the rig and a queue or audience, and access for delivery and setup.
We’re based in Melbourne and the majority of our end-of-year function bookings are in Victoria – but we service events in Sydney, Brisbane, Adelaide, Canberra, and Tasmania as well. If you’re planning something interstate, get in touch early and we’ll work out the logistics.

When to book
End-of-year function season runs from November through to mid-December, and it gets busy fast. If your function is in November or the first two weeks of December, we’d recommend getting in touch as early as possible to lock in your spot. The most popular dates fill up earlier than most clients expect.
